IntegrAItion ("we", "us", "our") is an AI integration agency based in Kuching, Sarawak, Malaysia. We build and deploy AI systems for businesses. This policy explains how we handle data across our website (integraition.io) and our client services.

2. What We Collect

Website Visitors

IntegrAItion does not run first-party analytics or advertising trackers on this website. The embedded Calendly scheduler is a third-party service and may process technical data when it loads.

If you use the Calendly scheduler or book a call, Calendly may collect device and usage information as well as your name, email, and any information you provide. This is governed by Calendly's Privacy Policy.

Starting-Point and Contact Enquiries

If you use Find my starting point or complete the contact form, we collect the answers you select, your name, company, contact details, and any optional operational context you provide. Form submissions are currently processed by FormSubmit so the enquiry can be delivered to our business email.

Do not submit credentials, customer exports, regulated records, or other sensitive files through Find my starting point. We use enquiry information to review your requested scope, respond to you, and decide whether a discovery session is appropriate.

Clients

When you engage us for a project, we may collect and process:

• Business and operational data relevant to your project
• Company workflows and internal processes
• Employee information (names, roles, contact details)
• Customer data of your customers, where required to build your AI system
• Communications between you and our team

3. How We Use Your Data

Client data is used exclusively to:

• Scope, build, and deploy your AI system
• Train and configure AI models specific to your business
• Monitor, maintain, and improve your system during the retainer period

We never use your data to train general-purpose models, sell to third parties, or for any purpose outside your project scope.

4. Third-Party AI Providers

Depending on your project requirements, your data may be processed by third-party AI providers (such as OpenAI or Anthropic) through their APIs. In these cases:

• We use API-grade access where provider terms prohibit training on your data
• Data is transmitted securely and not stored by the provider beyond processing
• Where privacy is critical, we offer local LLM deployment so your data never leaves your infrastructure

5. Data Storage & Security

Every client gets a dedicated server — your data is never shared with other clients or stored on shared infrastructure.

• Project files are stored securely on local machines and private GitHub repositories during development
• Production systems run on dedicated, isolated servers
• Stricter deployment requirements are scoped separately before production build

6. Data Retention

We retain your project data for the duration of our engagement plus 60 days after termination. This allows time for handover and transition. After this period, all client data in our possession is permanently deleted.

For clients on an active retainer, data is retained throughout the retainer period.

7. International Data

We serve clients globally. If you are located outside Malaysia, your data may be processed in Malaysia or in the region where your dedicated server is hosted. We ensure appropriate safeguards are in place regardless of location.

For clients in the European Union, we comply with GDPR requirements including your rights to access, rectify, and erase your personal data.

8. Your Rights

You have the right to:

• Request access to the data we hold about you or your business
• Request correction of inaccurate data
• Request deletion of your data (subject to contractual obligations)
• Request a copy of your data in a portable format
