Team diary

Is anyone free on Friday?

Check the schedule. Ask the team.

The follow-up

“Did anyone reply?”

The next step depends on someone remembering.

Who picks this up?

Concept example · sample business and records

One enquiry. A trail of manual work.

A customer asks for a visit. Someone copies the details, checks the diary and chases the person who should reply.

Less copying and chasing. Every request has a next step.

What we deliver

The work behind the change.

Workflow automation connects an event to the right next action across your existing tools. We build the connections, checks and exception paths. AI helps where interpretation is useful.

What we can measure together

  • Manual touches per completed item
  • Time from arrival to first action
  • Missed, failed or duplicate steps
  1. 01

    Connections with clear rules

The trigger, source record, next action and permissions. We confirm each tool’s access and limits first.

  2. 02

    A path for the exceptions

Handle duplicates, missing information and failed connections. Give unresolved work a visible owner.

  3. 03

A workflow your team can run

Test realistic cases together. Agree operating notes, monitoring and support responsibilities before launch.

From our first conversation to a working change
  1. 01

    Trace one handoff

Identify the trigger, source of truth, next action and owner. Check what each tool allows before promising a connection.

  2. 02

Test the normal and awkward cases

Build a small working flow. Try missing records, duplicates and failed connections as well as the successful path.

  3. 03

Launch with a way to recover

Your team signs off on the behaviour. Agree alerts, manual fallback and the support scope before the workflow goes live.

Before we talk

The useful details.

Can you connect our CRM, spreadsheets, inbox or accounting tools?

Often, but we verify each tool before scoping. Available APIs, account permissions, data formats, usage limits and provider terms determine the options. We explain gaps and alternatives before you commit.

Does every automation need AI?

No. Predictable work often needs clear rules and reliable integration. AI can help with unstructured inputs, summaries or draft responses. We use it where the benefit is useful and the output can be checked.

What if an integration stops working?

We agree how failures are detected, who is notified and how work can continue manually. Ongoing monitoring, response times and maintenance are defined in the support scope. Third-party tools can change after launch.

Do we need to replace our existing software?

Not usually as a starting assumption. We inspect what you already have and connect it where practical. If a tool cannot support the workflow, we explain that constraint and compare the alternatives.

What do we agree before starting?

External messages, pricing, payments and other consequential actions follow the approval rules we agree with you. A failed connection must leave an exception someone can see, rather than silently lose the work.
